Job Description:

To serve the President of the institution, as well as the governing body, the Board of Trustees, and function on a deadline basis.

Key Responsibilities:

PRESIDENT & CABINET:

  • Carry out President and Chief of Staff directives
  • Responsible for maintaining and up-keeping all office and computer files
  • Schedule appointments for the President and Chief of Staff or delegate them to the appropriate person
  • Provide support to the President and administrative team
  • Participate in the planning and execution of Convocation, Baccalaureate, and Commencement
  • Coordinate events, including scheduling, corresponding with speakers and participants, preparing background materials, and providing other logistical support
  • Allocate expenses and management of budget for the President’s Office and Board of Trustees, including tracking of reimbursements.
  • Oversee daily functions of the President’s Office
  • Manage orders for stationery, printing, etc.
  • Coordinate President’s travel and accommodations

BOARD:

  • Responsible for the scheduling, logistics, and carrying out of meetings of the Board of Trustees (work on agenda, travel, accommodations and dinners).
  • Responsible for scheduling and logistics for Board Committee Meetings and Ad Hoc Task Force Meetings
  • Assist with coordinating the records for the Board

ENTITIES:

  • Interface extensively with major donors, government, university and church leaders via phone or in person.

EDITING/WRITING:

  • Responsible for drafting, editing, researching, proofreading and tracking written materials including talking points, correspondence, scripts, etc. for the President, as well as for the Board of Trustees. 
  • Edit, rewrite and proof data submitted by the Vice Presidents for the Monthly Board Reports (includes Mid Month, Fall, Winter, and Spring Board Reports) 

Reports To:

Chief of Staff

Required Skills:

  • Knowledge of an academic setting
  • Good command of technology skills and experience with MS Word, Excel and PowerPoint
  • Organizational skills & proven ability to work in a fast-paced environment (ability to perform more than one task at a time)
  • Excellent Communication skills (both oral, written and telephone etiquette)
  • Strong writing, editing and proofreading skills
  • Ability to prioritize own work and plan ahead
  • Ability to make decisions and complete tasks without supervision
  • Interpersonal (ability to work with college personnel, trustees, students, major donors, guests, community, etc.
  • An understanding and appreciation of Christian higher education.

Education or Certification:

  • Bachelor's degree required

Required Experience:

  • 3-5 years experience as an assistant in an academic setting required.
